Changes to the Operation of Zoom Keio Tenant (From May 2026)

The operation of Zoom contracted by Keio University will change as follows.

From May 2026 onwards, an "application-based system" will be implemented for all users.

If you wish to use the Keio Zoom tenant, please submit a usage application via Software License Acquisition (keio.jp).
Those who have already applied for the "Zoom (AY2026 License)" during April do not need to apply again.
Please note that regardless of whether an application has been submitted, those who have left the university (graduation, completion, withdrawal with credits, etc.) cannot use this service.


At this time, there is no prospect of renewing the contract for the 2027 academic year and beyond.

Please refrain from planning classes or events that assume the availability of the Keio Zoom tenant from AY2027 onwards. An announcement regarding the contract outlook for AY2027 is scheduled for around July 2026.

Important Notes

  • Usage applications must be submitted by all faculty, staff, and students every academic year via Software License Acquisition (keio.jp). Since users do not automatically join the Keio tenant, please pay close attention to authentication settings when hosting meetings and the publication range for recorded content.
  • Under the new contract, the number of faculty and staff licenses is strictly limited. To prioritize use by faculty members for teaching, staff members are requested to limit applications to the absolute minimum number of personnel and only for unavoidable cases such as class support or orientations.
  • There are no changes to the operation of optional applications (Large 1000, Webinar 1000). Only faculty and staff can apply and use these, and prior application is required each academic year. Students cannot apply for or use these functions. As the number is limited, we may not be able to fulfill all requests.
  • If you have a free Zoom account registered with an @keio.jp email address at the time of registration to the Keio tenant, you will receive an invitation email (*) to join the Keio tenant. Please follow the instructions in the email to complete the process.
  • A license is required to host a meeting, but typically a license is not required to join a meeting hosted by others. It is not always mandatory to join the Keio tenant.
  • Cloud recording policy is as follows:
    • Faculty/Staff: Available (Auto-deleted after 365 days)
    • Students: Available (Auto-deleted after 7 days)
    Deleted data remains in the Trash for 30 days, but after 30 days, it is permanently deleted from the Trash and cannot be recovered.This timing is managed by Zoom and may be shorter than 30 days. Please download any necessary recording data promptly.

Remarks

  • The Zoom service contracted by Keio University is limited to educational and research purposes at Keio University. Use for classes at other universities or commercial use is prohibited.
